Fonts and outlines: how to avoid missing text

Why fonts go missing in print files and how to outline or embed them correctly.

If we do not have the fonts your file uses, text can substitute to a default font or fail to output correctly. Outlining or embedding fixes that.

What outlining does

Outlining (converting text to vector paths) bakes the letterforms into the file. We no longer need the font installed. The tradeoff: the text is no longer editable as type.

When to outline

Outline all type before sending for print unless you are packaging the job with fonts. In Illustrator and similar apps, select the type and convert to outlines (Create Outlines).

Checklist before sending

• All text converted to outlines, or fonts embedded in the PDF.

• No missing-font warnings when you open the file.

• Proofread before outlining—you cannot edit the text after.

Common mistake

Sending a PDF with "subset" fonts or assuming we have your custom font. If the font is not fully embedded or we do not have it, we will see a substitute and your type may not match.
